Vice President for Development

The Organization for Tropical Studies (OTS) is a nonprofit consortium of nearly sixty universities and research institutions worldwide, with operations in three countries and research and education stations in Costa Rica and South Africa. For the last half century OTS has been the world’s leading institution in the study of tropical biology, with more than 350 graduate courses in tropical ecology and conservation and over 8000 students trained, including many of the world’s leading tropical ecologists. Recently, OTS has recognized that to be a successful, 21st century organization, we need to evolve. We have clarified our purpose: To protect our tropical ecosystems by driving scientific discovery and knowledge, enriching human perception of nature and enhancing worldwide policy actions in the tropics. The VP for Development reports to the President and Chief Executive Officer. (S)he works closely with the COO and the VP Global Programs and Partnerships, and collaborates closely with country, research station and program directors. (S)he is key a member of the organization’s leadership team.

Responsibilities:

  • With significant input from the President and CEO and other staff, plans, creates, manages, directs and executes a comprehensive donor development and fundraising program to expand OTS’ annual unrestricted revenue to $5M per year.
  • Ensures OTS has the infrastructure in place to support expanded fundraising
  • Sets and meets ambitious fundraising objectives, evaluates results and implements corrective strategies and actions.
  • Effectively cultivates, develops and manages a portfolio of at least 20 individual donors at the $25,000 level and above. Ensures that every major donor has a clear strategy, including timeline for cultivation, solicitation and stewardship.
  • Provides leadership for developing and managing a portfolio of several seven figure grants from federal, bilateral and multilateral donors. Ensures that OTS responds to the right funding opportunities, submits effective proposals, and implements grants with the necessary communication and compliance.
  • Serves as a dynamic ambassador for the organization, both internally and externally, capable of inspiring support from a variety of stakeholders, ranging from dedicated OTS supporters and alumni, to foundations, governments and venture philanthropists. Has, or can quickly gain, substantive knowledge of OTS’ mission, purpose and scientific programs, projects and activities to effectively present potential giving opportunities, verbally, visually and in writing to prospective donors. Communicates effectively with donors through extensive face-to-face solicitation, stewardship meetings, as well as through ongoing and tactical written and e-communication strategies.
  • Oversees the planning and supports execution of targeted donor events.
  • Leads the development team and plays a leadership role in interdepartmental teams to coordinate and mentor the fundraising work of peers and team members.
  • Provides monthly revenue forecasts, reports and statistical analysis to the President & CEO, senior staff and the Board.

Graduate Program Coordinator

The Organization for Tropical Studies (OTS) is a nonprofit consortium of nearly sixty universities and research institutions worldwide, with operations in three countries and research and education stations in Costa Rica and South Africa. The graduate program works with participants at the postgraduate level from universities, research institutions, and other organizations to strengthen education and research skills in tropical areas. The position of Graduate Program Coordinator (GCP) has the main task of guaranteeing the execution of the graduate program including the awarding of the scholarship funds for courses and research. Coordinate, manage and execute the graduate program, which includes intensive "fundamental" field courses and specialty courses, and the research scholarship program with two annual competitions and post-course fellowships.

The GCP position reports directly to the Vice-President for Global Programs and Partnerships and supports any other work that may be requested within the framework of the graduate OTS education program in Costa Rica.

This is a temporary, short-term position, expected to end on August 15, 2018.


Basic duties and responsibilities
Coordinate the planning and implementation of the fundamental courses and specialty courses.

Direct marketing and recruitment processes.

Support selection processes of participants for courses.

Ensure that the courses conduct an evaluation by students and faculty to contribute to the continuous improvement of the program.

Plan future courses and define long-term objectives and goals.

Develop the annual budget for the graduate program.

Direct the relevant processes for the design and planning of operational strategies for the graduate program. These strategies would be associated with the identification of courses for the future, participation of coordinators, maintenance-improvement of equipment for courses, execution of scholarship funds for courses, among others.

Any other activity assigned by the supervisor that is inherent in his position and capacity.

The tasks associated with these functions are but not limited to:

  • Communicate with students, professors and internal and external collaborators.
  • Answer e-mails or calls.
  • Development of annual postgraduate calendar.
  • Identify and direct the coordinators of each course (including the generation of academic content i.e. syllabus, itinerary, list of invited professors and budget).
  • Ensure that the safety guidelines in the courses are understood by the personnel who execute the courses in the field.
  • Confirm itineraries and coordinate the execution and follow-up of the itinerary (e.g. reservations and logistics) with the administrative assistant.
  • Review the orientation package for participants.
  • Assist in the preparation of recruitment and development materials for the website. With the support of administrative assistant to ensure that the information on the website is updated with the announcements of upcoming courses.
  • With the help of administrative assistant, prepare information for E-canopy about the graduate courses.
  • Send periodic messages to OTS delegates to recruit students from member institutions.
  • With the help of administrative assistant, answer emails to guide and encourage those interested in applying to the courses.
  • Direct and participate in the selection of students.
  • Support administrative assistant in the process of purchasing airline tickets for coordinators and guest professors.
  • Manage the budget and maintain fiscal controls.
  • Support administrative assistant in the coordination of meetings with coordinators and logistics and transport support people.
  • Visit the courses in the field.
  • Support in the process of awarding post-course fellowships
  • Write copy for the Board books twice a year
  • Give support in case of emergencies or illnesses.
  • Follow up on issues that arise from course evaluations and final course reports. This follow-up includes communication with various departments such as finance, information technology, reservations, transportation, stations, etc.
  • Have regular meetings with the Vice-President for Global Programs and Partnerships

Budgetary Control

  • Administer the budget of the department within established budgets for the courses

Qualifications and Experience

  • Bachelor’s degree with a minimum of 3-5 years of experience in higher education, or equivalent experience
  • Experience with in-field-based education

Preferred

  • Past experience with OTS graduate course highly desired
  • Fluency in spoken and written Spanish

Supervision responsibilities

    • Supervise the administrative assistant of the graduate program

Development Intern

Organization for Tropical Studies (OTS) seeks a current undergraduate or graduate student, or a recent college graduate, interested in serving as an Intern at our North American Office in Durham, NC. The Intern will work for the Development Department and will provide a wide range of database, research, administrative, and general support to OTS’ Development team. This is a proven opportunity to learn about the fundamentals of fundraising by interacting with an active team of fundraisers and by helping the team work with its stakeholders, alumni, and prospective donors. In addition to learning the industry-standard database software packages of Raiser’s Edge and ResearchPoint, extremely helpful in future job applications, this internship is a prime opportunity to gain experience and familiarity with areas such as gift entry, direct mail, online giving, social media, research and stewardship. The Development Intern will report to the Development Manager and will support the entire development department.

Essential Functions

  • Assist with the planning and implementation of the unrestricted Annual Fund.
  • Maintain donor files and development materials.
  • Use Internet and other resources to conduct research on potential donors.
  • Organize and compile research findings for cultivation, solicitation, and stewardship.
  • Verify/update contact information for donors, alumni, and key stakeholders.
  • Maintain and update database information.
  • Provide support for marketing and donor communication materials.
  • Assist with the solicitation of donations.
  • Assist with and participate in donor appreciation activities, including (but not limited to} thank you notes and calls.
  • Other development tasks and support, as needed.
